At ThatTrip, we understand that travel plans can change — and we're committed to handling cancellations and refunds with fairness, clarity, and transparency.
General
- The ThatTrip Cancellation Policy governs all flights, hotels, activities, transfers, visas, and insurance services booked through us.
- Refunds (if applicable) will be processed within 60–90 working days from the date of cancellation or after the respective supplier processes the refund — whichever is later.
- Refund timelines may vary depending on international suppliers, airlines, or foreign exchange fluctuations.
- Customers will be informed by their ThatTrip travel consultant/account manager about refund progress or any changes in refund amounts.

Flights
Non-Refundable Flights
Flights marked as "Non-Refundable" on your final travel vouchers will not be eligible for a refund under any circumstances.
Refundable Flights
Flights marked as "Refundable" will be refunded as per the specific airline's cancellation policy and refund amount. Refund amounts may vary based on currency conversion rates and airline processing charges.
Airline Changes
ThatTrip is not responsible for flight delays, cancellations, or operational changes made by the airline. In such cases, refunds (if any) must be requested directly from the airline.
Customer Responsibilities
Customers must ensure:
- Their passport is valid for at least 6 months from the travel date.
- They arrive at the airport at least 3 hours prior to international flight departures.
- They comply with airline check-in requirements (including web check-ins for LCC carriers).
ThatTrip is not liable for: Denied boarding, missed flights, additional charges due to incorrect travel documents or baggage policy breaches.
Hotels
Non-Refundable Hotels
Hotels marked as "Non-Refundable" in your final voucher are not eligible for any refund.
Refundable Hotels
For "Refundable" hotel bookings, refunds will be processed as per the hotel's individual cancellation policy mentioned in your final itinerary email. Hotel refund amounts may be impacted by international currency fluctuations.
Additional Policies
- Early check-in and late check-out requests are subject to hotel availability and not guaranteed by ThatTrip.
- Any room upgrades, extra services, or amenities availed during the trip will be borne by the customer.
- If a traveler chooses to change hotels on-trip, the original booking will incur a 100% cancellation charge.
Activities & Experiences
Non-Refundable Activities
Activities marked as "Non-Refundable" in your itinerary are not eligible for refunds.
Refundable Activities
Refundable activities are subject to the supplier's cancellation terms and timelines as mentioned in your travel voucher. Refunds may vary due to international exchange rate differences.
Weather and Operational Changes
Any activity canceled due to weather, operational, or safety concerns will follow the supplier's refund or rescheduling policy. ThatTrip is not responsible for third-party operational decisions or delays by local partners.
Visa & Travel Insurance
Visa Services
ThatTrip assists travelers with visa documentation and guidance, but the approval or rejection of a visa is entirely at the discretion of the respective embassy or consulate.
The visa fee is non-refundable, regardless of approval or rejection status. Any sudden changes in embassy rules or additional requirements are outside ThatTrip's control.
Travel Insurance
Travel insurance policies, once issued, are non-refundable and subject to 100% cancellation charges.
Transfers & Ground Transport
- All airport and intercity transfers follow the same cancellation and refund policy as shared in your travel itinerary.
- Refunds for transfer services will depend on the local supplier's terms and currency exchange variations.
- Delays due to traffic, weather, or regional factors are beyond ThatTrip's control.
- Customers must be present at the designated pickup time and location mentioned in the itinerary.
Package Modifications or On-Trip Changes
Post-Travel Commencement
Once travel has commenced, no partial refunds will be issued for unused services (flights, hotel nights, or tours).
On-Trip Modifications
Any on-trip changes (e.g., additional nights, upgrades, or last-minute changes) will be charged separately and must be paid directly by the traveler.
Force Majeure
ThatTrip reserves the right to adjust itineraries due to force majeure events such as:
- Strikes
- Natural disasters
- Political unrest
- Airline disruptions
Currency & International Charges
- All refunds for international bookings are subject to foreign exchange rate fluctuations and bank transfer fees.
- Final refund values may differ slightly from the original quoted amount based on exchange rate variations at the time of refund.
Liability Disclaimer
ThatTrip acts as an intermediary between travelers and third-party service providers (airlines, hotels, local operators).
While we ensure high service standards, we are not liable for:
- Delays, cancellations, or loss caused by airlines, hotels, or tour providers
- Changes due to weather, strikes, or force majeure events
- Traveler negligence, missing documents, or failure to follow local regulations
Our maximum liability is limited to the total amount paid to ThatTrip for the specific service in question.
